Does it cost anything?

No. Epostflytt is free and needs no account. Oderland runs it as a service for anyone moving email. You do not have to be a customer.

Do you store my passwords?

No. Credentials are held in memory for the duration of the transfer and never written to disk. When the job ends they are erased immediately, whether it finished, was aborted or failed. The log that remains holds folder names and counts, never content or passwords.

How long is the log kept?

Seven days, then it is deleted automatically. Once the move has finished you can delete it yourself from the move's own page (the link you were emailed) and it is gone at once.

Can I run the move more than once?

Yes, and it is recommended. Run it once before you switch the MX record and once after. Messages already present in the destination are skipped.

Does it work with Gmail?

Yes. Google no longer accepts the account's ordinary password over IMAP, so you need an app password, one Google creates for this purpose.

Turn on 2-Step Verification on the Google account, create an app password and enter that instead of your normal password here. The server and port are filled in for you when you pick Gmail.

On a work or school account, your administrator may first need to allow 2-Step Verification and turn on IMAP. If you cannot create an app password at all, that is usually what is missing.

Does it work with Microsoft 365?

Yes, but differently from the others: you sign in with your Microsoft account instead of typing a password. Microsoft turned off password sign-in for IMAP in Exchange Online, so there is no password left to enter.

If your organisation requires an administrator to approve the app before you can sign in, that is something your IT department resolves, not you. It is common at companies and schools that disable self-service consent.

To move a shared mailbox, sign in with your own account and enter the shared mailbox's address in Username instead of your own. That needs Full Access to that mailbox.

Multi-account moves work too: you sign in once per side, and the same sign-in is used for every mailbox in the file. It requires that the account you sign in with holds Full Access on each mailbox. Global Administrator is not enough. Such a move may hold fewer mailboxes than an ordinary one, because everything rides on that single sign-in.

How do I grant Full Access to a mailbox?

Full Access is the permission that lets the account you sign in with open somebody else's mailbox. You need it on every mailbox the move has to open that is not the account's own.

Global Administrator is not enough. Entra directory roles and per-mailbox permissions are separate systems, and Microsoft deliberately keeps mailbox content out of the directory roles. A Global Administrator can therefore grant the permission, but does not hold it.

Step 1. Open the Exchange admin center at admin.exchange.microsoft.com and go to Recipients → Mailboxes.

Step 2. Click the mailbox in the list and choose Mailbox delegation.

Step 3. Next to Read and manage (Full Access), click Edit and then Add members. Pick the account you will sign in with here in Epostflytt, and save: Save, then Confirm.

Moving many mailboxes is quicker the other way round: select them all in the list in step 1 and choose Mailbox delegation directly. You then enter the account once, pick Full access from the permission types, and save for the whole selection.

If you grant the permission to yourself, those mailboxes will appear as extra mailboxes in your own Outlook. That is expected, and it goes away when you remove the permission again, which is worth doing once the move is finished, either way.

If a row still reports no access when you test it: wait a minute and test again, a new permission does not always take effect immediately. Mailboxes hidden from the address list cannot be opened with Full Access at all. That is a limitation at Microsoft, not here.

How long does it take?

Reckon on roughly 1 GB per hour. A typical 5,000-message mailbox rarely takes more than half an hour. You can close the tab, the move keeps running on the server.

Common error messages
